Set a Clear Sample Approval Gate
Sample approval works best when the acceptance points are known before the sample is made. Otherwise the review can drift into a sequence of unrelated preferences.
Define the working document
List the construction and appearance points you need to decide: material, cap fit, lace, shade, texture, length and cut. Identify which can be checked by measurement and which need a physical comparison. Agree the reference conditions with the factory.
Connect the approval points
Review the sample against the brief and record a decision for each point. If a correction is needed, describe it precisely and keep the earlier version identifiable. A vague request to make it better gives neither team a reliable target.

Keep the handover traceable
Approve the final sample in writing and state whether the packaging is also approved. Keep the reference for production and inspection. Changes requested after approval should be treated as changes to the brief, with their effect on cost and schedule confirmed.
